1. Define outcomes and scope
Choose the first problems to solve: work-order control, PM scheduling, asset history, compliance evidence, mobile execution, inventory, capital planning or integrated building data. Trying to implement every possible module at once increases complexity and weakens adoption.
2. Standardize core workflows
Agree how requests enter, how priorities are assigned, what “planned” means, who can approve work, what closeout data is required and how contractors are handled. Configure those rules only after stakeholders understand them.
3. Clean only the data you need
Do not migrate decades of duplicate and obsolete records just because they exist. Build a minimum viable asset register, preserve legally or operationally necessary history, and archive legacy data separately when appropriate.
4. Pilot with a real operating area
A pilot should include actual technicians, planners, supervisors and requesters. Test mobile use, labels, parts, approvals, reports and failure scenarios — not just whether screens load.
5. Add integrations deliberately
Start with identifiers and critical workflows. ERP purchasing or BMS alarms can add value, but each interface also creates another dependency to operate and support.
6. Make data governance part of normal work
Assign owners for priorities, status codes, asset naming, duplicate records, PM templates and user roles. Review the system after go-live based on work quality and outcomes rather than number of features enabled.
