CMMS and work orders: the operating core of facility maintenance

A computerized maintenance management system (CMMS) organizes maintenance work and history. Its value comes from consistent workflow and usable asset data, not from how many fields the software provides.

The work-order lifecycle

Request or trigger. A defect, inspection, preventive schedule or alarm identifies a need.
Screen and prioritize. Confirm ownership, urgency and whether immediate controls are required.
Plan. Define job scope, labor, material, documents, access and safety prerequisites.
Schedule and execute. Coordinate production access, permits, contractors and resources.
Close and learn. Record condition, cause, action, time, parts and follow-up.

Service request vs work order

A service request describes a need from the requester's perspective. A work order authorizes and controls the work from the maintenance perspective. Some organizations combine the two for simple tasks; others keep them separate to improve triage and planning.

Planning vs scheduling

Planning determines how a job should be completed and what resources are required. Scheduling determines when it will be completed and which resources are assigned. Blending them can leave the schedule full of jobs that are not actually ready to execute.

Backlog should be qualified

A backlog count alone is weak information. One hundred two-hour jobs and one hundred forty-hour jobs are not equivalent. Separating unplanned requests, planned-ready work, shutdown work, compliance work and waiting-on-material work makes the backlog actionable.

Closeout quality drives future value

Useful closeout codes should be simple enough to use consistently. If technicians are forced to choose among dozens of ambiguous failure codes, data quality often falls. Start with a compact taxonomy and expand only where decisions require more detail.
