Build an obligations register
A practical register links each obligation to jurisdiction/source, facility scope, responsible owner, frequency or trigger, required evidence and escalation path. This reduces reliance on individual memory and prevents inspections from being treated as isolated calendar reminders.
Contractor coordination
External contractors may need site orientation, access approval, scope confirmation, insurance or competency evidence, permits, isolation coordination, escorting or closeout documents depending on the work and jurisdiction. The FM system can track workflow without replacing the site's safety management process.
Controlled documents
Drawings, O&M manuals, warranties, inspection records, certificates and commissioning documents should have known owners and revision status. A document link in the CMMS is useful only if the linked file is current and accessible when the technician needs it.
Management of change
Facility modifications can affect maintenance instructions, spare parts, floor plans, controls, emergency plans and regulatory records. Closeout should therefore update the operational information set, not stop at project completion.
Audit trail
Systems should preserve enough history to show what was required, what was completed, by whom, when and with what evidence. The exact retention period and documentation requirements are jurisdiction- and organization-specific.
